How to Wipe a Laptop Properly Before You Sell or Return It
People hand over laptops with their entire lives still on them far more often than they realise. Deleting files does not remove them. Emptying the recycle bin does not remove them. Even a standard Windows reinstall can leave a great deal recoverable by anyone who knows what they are doing - which, given recovery software is free, is a lot of people.
Why deleting is not erasing
When you delete a file, the operating system marks the space it occupied as available. The data itself stays on the drive until something happens to overwrite it. On a large drive with plenty of free space, that can be months, or never.
This is exactly the mechanism our data recovery service relies on when someone deletes something by accident. It is extremely useful when you want your files back, and it is the problem when you want them gone.
Before you erase anything: get your data out
Copy everything you want off the machine first, and then check the copy actually opens. Browser bookmarks and saved passwords, authenticator apps, licence keys, anything sitting on the desktop, and the folders people forget - Downloads, Pictures, and whatever is in the default Documents location.
Sign out of your accounts while the machine still works: Microsoft or Apple account, browser sync, and any password manager. On a Mac, sign out of your Apple account and turn off Find My before wiping, or the next owner will find the machine locked to you.
How to actually erase it
Windows. Use Reset this PC, choose to remove everything, and when it offers the option, choose to clean the drive rather than just remove files. That option exists precisely because the quick version leaves data recoverable. It takes considerably longer, which is the point.
Encryption is the stronger approach. If the drive was encrypted with BitLocker or FileVault while you were using it, the data on it is unreadable without the key. Wiping an encrypted drive is effectively instant and final, because the recoverable remnants are meaningless ciphertext. This is the single best reason to turn encryption on now rather than when you sell the machine.
SSDs behave differently from hard disks. The old advice about overwriting a drive several times was written for mechanical disks. SSDs move data around internally for wear levelling, so overwriting does not reliably reach every cell. The correct approach on an SSD is the manufacturer secure-erase command or, better, having used encryption from the start.
Company laptops
Do not wipe a company machine yourself. Corporate laptops are usually managed, encrypted and inventoried, and erasing one can breach your employer's policy even when your intention is good. Copy off anything genuinely personal, sign out of personal accounts, and hand it back. Let their IT team handle the erase.
What about a laptop that will not switch on
This is the case people get wrong most often - a dead laptop gets sold for parts or thrown away with the drive still in it, fully readable. A dead motherboard does not make the drive unreadable; pulling the drive out and connecting it to another machine takes minutes.
If the machine is dead, remove the drive before it leaves your hands. Bring it to us and we will remove and erase it, or physically destroy it if you would rather, and we can recover anything you still need off it first.
Frequently asked questions
Is a Windows reinstall enough?
Not on its own. A standard reinstall leaves a large amount recoverable. Use the reset option that cleans the drive, or better, have the drive securely erased.
Should I just remove the drive and keep it?
That is a perfectly reasonable option, and it reduces the sale price by less than most people expect. We can fit a replacement drive if the buyer needs one.
Do you offer a certificate of erasure?

Can you destroy a drive physically?
